Privacy policy

Your trust matters. This policy explains what data we collect on togoenrose.org, why, how long we keep it and how to exercise your rights.

1.Who is responsible for your data?

The data controller is the Groupement des Femmes Vaillantes et Dynamiques du Grand-Lomé (GFVD-GL), Lomé, Togo [TO BE CONFIRMED: head-office address], reachable on +228 70 20 20 06 or at [email protected] [TO BE CONFIRMED].

We process your data in accordance with Law No. 2019-014 of 29 October 2019 on the protection of personal data of the Togolese Republic.

2.What data do we collect?

We only collect the data you choose to send us through our forms, and only what is needed for your request:

  • Contact: name, email, phone, subject and message.
  • Newsletter: email address and, if you wish, your name.
  • Volunteering and membership: name, contact details, town, availability, skills or profession, motivation.
  • Event registration: name, contact details, number of attendees, organisation if any.
  • Pledge: name, contact details, amount, intended payment method, message. We collect no bank details and no Mobile Money codes on this website.
  • Story: name, contact details, your story and, if you wish, the name under which it may be published.

A story may contain information about your health. Such information is sensitive: we only process it with your explicit consent, and no story is published without your written agreement.

We never ask for identity documents, medical records or test results through this website. Please do not send them through the form.

3.Why do we use your data?

  • To answer your messages and guide you.
  • To organise our activities: welcoming volunteers, managing memberships, event registrations.
  • To follow up on pledges and thank you.
  • To publish, with your consent, stories that encourage other women.
  • To send you our newsletter if you have subscribed.
  • To protect the website against abuse and automated submissions (spam).

This processing is based on your consent, given when you fill in a form, or on GFVD-GL’s legitimate interest in organising its activities and securing its website. Your data is never sold or used for advertising.

4.Who can access it?

Only authorised members of the GFVD-GL team, each with a personal password-protected account, can view the information you send.

Our technical provider, Dreshmen Technology, LLC, may access it only when necessary for the maintenance and security of the website, under a duty of confidentiality.

With your consent, we may pass your contact details to a health partner to arrange screening. We never share your data for any other purpose.

5.Where is your data stored?

Data is stored in the website’s database, on a private server administered by Dreshmen Technology, LLC. Data-centre location: [TO BE CONFIRMED].

If this server is located outside Togo, the transfer is carried out with appropriate security and confidentiality safeguards, in accordance with Law No. 2019-014.

6.How long do we keep it?

  • Contact messages: 3 years after our last exchange.
  • Event registrations: 1 year after the event.
  • Volunteers and members: for as long as you are involved, then 3 years.
  • Pledges: as long as needed for follow-up and the group’s accounting obligations.
  • Newsletter: until you unsubscribe.
  • Stories: until you withdraw your consent; unpublished stories are deleted no later than 2 years after receipt.

After these periods, data is deleted or anonymised.

7.Cookies and analytics

The website uses no advertising cookies and, by default, no analytics tools. It only sets:

  • a NEXT_LOCALE cookie, which remembers the language you chose (French or English) for one year;
  • for the GFVD-GL team only, a session cookie required to log in to the administration area.

These cookies are strictly necessary for the website to work and are not used to track you.

Your browser also keeps, in its local storage, your answer to the cookie notice and the date on which you closed the donation window (so that it is not shown again for 7 days). This information stays on your device and is not sent to us; you can delete it at any time in your browser settings.

The map on the Contact page is provided by OpenStreetMap: displaying it sends your IP address to OpenStreetMap’s servers, as with any web page. Fonts are hosted on our own server.

Should an analytics tool be added, this policy would be updated and your consent would be requested where the law requires it.

8.Security

The website is only available over an encrypted connection (HTTPS). Access to the administration area is restricted to authorised people, with personal passwords and lock-out after several failed attempts.

To prevent abuse, your IP address is used temporarily, in memory, when you submit a form; it is not stored with your message.

9.Your rights

Under Law No. 2019-014, you have the following rights over your data:

  • the right to be informed and the right of access;
  • the right to rectification and updating;
  • the right to erasure;
  • the right to object, in particular to receiving our newsletter;
  • the right to withdraw your consent at any time, for example to the publication of your story.

If, after contacting us, you believe your rights have not been respected, you may refer the matter to the personal data protection authority established by Law No. 2019-014 [TO BE CONFIRMED: exact name and contact details of the authority].

10.Minors

Our forms are intended for adults. A minor who wishes to get involved with us must do so with the agreement of a parent or guardian.

This policy may change, for example if we add a new service. The date of the last update appears at the top of this page.
